Privacy Policy

This Privacy Policy describes how velviradigital ('we', 'us', or 'Velvira') collects, uses, and protects your information.

Last Updated: May 2026

1. Our Commitment to Transparency

At Velviradigital, we believe in "honesty-first" data management. We collect only what is necessary to help our clients' aesthetic and skin specialists connect with people seeking professional care. We never sell your data, and we treat your privacy with the same professionalism you expect from a clinical practice.

2. Information We Collect

We collect information in two ways:

  • Directly from you: When you fill out our contact form, book a consultation, or subscribe to our insights.
  • Automated interactions: We use cookies and pixels (like Google Analytics and Meta) to understand how you interact with our site so we can improve our services.

3. Specialized Data Handling for Clinics

As a specialized agency, we often act as a "Data Processor" for our clients. This means:

  • Compliance: We ensure all lead-generation funnels we build are compliant with the Australian Privacy Act and AHPRA/TGA guidelines.
  • Security: We use encrypted systems to manage patient inquiries, ensuring that sensitive interest in aesthetic services remains private.
3.1 Sensitive Health Information Handling

When managing lead generation campaigns for our clinical partners, the data captured (such as skin concerns, treatment interests, or consultation notes) constitutes "Sensitive Health Information" under the Australian Privacy Act 1988. Velvira implements strict procedural protocols to ensure this data is encrypted in transit, never stored on unsecured third-party servers, and transferred directly to the clinic’s designated secure Patient Management System (PMS) or compliant CRM. We do not retain patient health data on our own internal systems past the necessary campaign optimisation period.

4. How We Use Your Data

Your data is used strictly for:

  • Providing and improving our marketing and web development services.
  • Communicating with you regarding your project or inquiries.
  • Ensuring our marketing remains compliant with the latest 2026 Australian regulations.

5. Your Rights and Controls

You are in control of your information. At any time, you can:

  • Request a copy of the data we hold about you.
  • Request that we delete your information entirely.
  • Opt-out of any marketing communications with a single click.

6. Contact Our Privacy Officer

If you have any questions about how we handle data, or if you want to exercise your privacy rights, please contact us at:

7. Use of Automated Systems and AI

To provide our high-efficiency marketing services, velviradigital may utilise automated decision-making (ADM) and AI-enabled tools.

  • How we use it: We use these systems to assist in lead qualification, data analysis, and content optimization to improve campaign performance.
  • Human Oversight: These tools are used to support, not replace, our professional judgment. All significant strategic decisions involve human review to ensure accuracy and compliance with AHPRA/TGA standards.
  • Your Rights: You may request information about how our automated systems process your personal data by contacting us at the email provided in Section 6.
7.1 Data Storage and Cross-Border Transfers

Velvira utilizes secure, cloud-based infrastructure to host websites and manage marketing databases. While we target and service clinics exclusively within Australia, some of our software infrastructure providers and backend technical subcontractors may store or process data on servers located overseas (such as the United States, Asia or the EU). By utilising our web forms or services, you consent to this cross-border data transfer. We take all reasonable operational steps to ensure these providers adhere to data protection standards equivalent to the Australian Privacy Principles (APPs).
